Begin with what the public record actually says
A listing may give an artist, title, medium, size, edition and asking price. Those are useful starting points. In the sample Artwork Research report, the “Documented Publicly” card records the Red Lens edition’s stated identity and construction. It keeps the seller’s signing statement as a seller statement rather than quietly turning it into an inspection of the particular copy.
That distinction matters because a description of an edition is not a complete file for the example that will arrive at your door. A generic catalogue entry may identify the work but say nothing about the individual copy number, present condition, framing or what papers accompany this order.
Make the missing-record list actionable
The adjacent “Not Publicly Established” card in the sample identifies example-specific gaps: the copy number, a certificate or commitment to provide one, condition documentation, and an ownership record. The card does not assert that these documents do not exist. It says the checked public material did not establish them. That is a prompt for a precise request to the seller, not a verdict on the artwork.
Ask for a dated condition report and images that identify the offered example. Ask what invoice, certificate, edition record and return or inspection terms will come with the purchase. Keep the seller’s reply, and compare the delivered documents with the work that arrives. The CollectRight methodology frames public research as a bounded review of available evidence, rather than a substitute for unseen private files or physical inspection.
Use preservation questions before transport
“Preservation Focus” takes the recorded material seriously. For a print on paper, the sample asks about the sheet, printed surface, presentation and glazing before the work is moved. This is a material-specific inspection priority, not a remote condition diagnosis. A ceramic, video installation or outdoor sculpture would raise different questions.
